You have the ability to customise and add attachments to the emails that your clients receive. 


You also have the option to add any forms for clients to fill out pre treatment, with the option to send different forms out at different stages of their notification emails, including different email chains for different services. For example, you can send a pre screening form on the confirmation email on an Initial Consultation, and a Covid form on the reminder email 24 hours before the appointment.


Please note, if you have not set up any custom emails, the client will still receive the standard confirmation & reminder email (48 hours before), without any forms attached.


To set up custom emails, follow these steps to do so:


  • Head into Templates & Links in the menu 
  • Select Custom Emails
  • Select New Custom Email
  • Select the Service Type from the first dropdown (labelled Service) that you want this email to be sent out for when an appointment is created for that service i.e. Initial Consultation
  • Select the email that you want to change from the next drop down box labelled When To Use
    • Confirmation - This is the email that is sent out immediately when either a specialist books a client in, or if they book themselves in
    • Reminder - These are the reminder emails that are sent prior to an appointment. You can send as many reminder emails as you so wish
    • Follow Up - These are emails that are sent post appointment e.g. how are you getting on
  • Under the content tab, you can change the reply to email, add any attachment (e.g. directions to the clinic), and add any extra content to the email
    • Please note: The content tab is any extra information you wish to add. The email will always say the standard text i.e. You have an appointment with this specialist at this time
  • Finally, under the 'Form Templates' tab, you can select as many forms to send out with that email as you like. These are the forms your clients receive and fill out, with the answers saved to their client notes


Make sure you do this for each of your services, in each location.
