Appointments/Bookings can be created via the calendar

  1. Select the date and time you wish the appointment to be and a pop will allow you to create a new appointment
  2. Much of the information will be pre populated including the location, therapist and room (if applicable) but if you have multiple therapists/locations/rooms then check this is all correct
  3. The start and end times of the appointment will auto populate based on the service but check these are correct
  4. In the Client field then start typing their name
    1. If that client is an existing client then it will provide the opportunity to select that clients name and this will say 'client found'. All info will then be saved to that clients notes
  5. If it is a new client, it will provide the option of entering an email address and/or mobile number and notes in order to create a new client record. N.B. Without a mobile number then no SMS notifications/reminders can be sent
    1. All info will be saved under a new client automatically created
  6. Finally, you have the option to send booking confirmation. Here, you have 3 choices here with the default and most popular being to request payment for obvious reasons of reducing admin, saving time and reducing no shows/DNAs
    1. Send no confirmation - the client won't receive anything
    2. Send confirmation without payment request 
    3. Send confirmation with payment request. This will default to the payment type you've selected for each service, for example, taking a deposit, or taking full payment
  7. Select Save and the appointment is added, and any emails/ custom emails will then automatically be sent


To edit or cancel appointment, simply click on the appointment, and select Edit or Cancel.


An appointment will have an orange outline when added to show you that the client has received the form automatically, but has not yet filled out the form. The moment this is completed, the orange outline is removed
